When you source motorcycle parts in bulk, packing instructions are part of the RFQ. A clear request connects each item to its fitment reference, quantity, pack preference, label text and destination, so the supplier can review the same details before quoting.
Quick answer: Send one line per part number. Include make, model and year where relevant; an OEM or drawing reference; quantity; requested packing; label content; carton marks; and destination. Ask the supplier to confirm the quote basis and any packing details that are still unknown.
What identification details should go in a motorcycle-parts RFQ?
Start with the part, then add the application. Similar-looking parts can have different references, dimensions or interfaces, so give the supplier enough information to identify what you mean. If a field is unknown, mark it as unknown and ask what would help confirm the item.
| Field | What to provide | Why it helps |
|---|---|---|
| Part identity | Part name, your SKU, OEM/reference number or drawing number | Keeps each quotation line tied to the same item. |
| Application | Make, model and year, when the part is vehicle-specific | Gives the supplier context for a fitment review. |
| Supporting reference | Dimensioned drawing, clear photos or key interface measurements, if available | Helps resolve a missing or ambiguous part number. |
| Order quantity | Quantity per part number and whether it is a trial or repeat order | Lets the supplier respond to the requested order basis. |
Keep mixed-model items on separate lines instead of combining them into one total. If you are checking a product from the motorcycle parts catalog, include its page or reference in your list and ask the supplier to confirm the match in writing.
How should buyers describe packing requirements?
Describe the result you need without assuming a particular packing method is available. State whether items should be separated by part number or model, how many pieces you prefer in each inner pack, and whether surfaces or edges need protection. If you have a sample package or an existing packing specification, attach it to the RFQ.
- Pieces per inner pack or requested grouping
- Whether different models or part numbers must stay separate
- Any requested protection, divider or kit arrangement
- Preferred carton marks or buyer reference
- Destination country and city, so the supplier can review the shipment request
Ask the supplier to identify which requests they can meet, which need clarification, and whether a requested option changes the quotation. Final packing details should be confirmed before the order is approved.
Which label details should be confirmed?
Write the exact label text in the RFQ or attach the current artwork. Separate product identification from outer-carton marks, and call out optional fields instead of treating them as standard. If a barcode, language, label size or placement is required, provide the data or reference and ask the supplier to confirm the proposed format.
- Part number, buyer SKU or model reference
- Quantity per pack and pack count, if required
- Exact carton-mark text and destination reference
- Language, barcode data, artwork file or label placement, when needed
Before packing is finalized, request a proof or clear photo showing the text and placement. Review spelling, part reference and quantities, record the revision, and name who approves it. A proof review helps catch transcription differences; it does not replace the buyer’s final order checks.

Use this template for one item or repeat the item block for each part number. Replace unknown fields with “please confirm” so the supplier can respond directly.

What should the supplier confirm before approval?
Check that the response maps each price and packing option to the correct part number and quantity. Ask for unresolved fitment questions, MOQ, quotation validity, packing cost, label-proof steps and timing to be stated in writing. If carton dimensions or CBM are not yet available, ask when they can be confirmed rather than estimating them yourself.
For a separate guide to carton measurements and volume fields, see the motorcycle-parts carton dimensions and CBM RFQ checklist. Keep that information distinct from the label artwork: one identifies the package, while the other describes its measurements.
Prepare a clear wholesale request
Send your parts list, references, quantities, packing preference and destination through the Vobom contact page. You can also browse the motorcycle parts category to organize the items you want quoted. A complete RFQ gives the supplier a clear starting point; fitment, supply, price and shipment details still need written confirmation for your order.
