Motorcycle Parts RFQ: Confirm Bulk Pack-Out Details
A practical way to make mixed-SKU quote requests easier to compare: define the quantity basis, pack-out assumptions, carton details and shipping scope in writing.
Two wholesale quotes are difficult to compare if one counts individual units while another assumes inner packs, mixed cartons or different labels. Before comparing totals, ask each seller to quote the same line list and state what packing and shipment details are confirmed versus still estimated.
Start with one row per part number
Do not send only a combined quantity such as “500 parts.” Give each requested item its own line. Use the part reference exactly as it appears on your list, add a short description, and mark the vehicle or application information you have. If a reference or fitment detail is uncertain, label it “buyer-provided—please verify” instead of presenting it as confirmed.
- Buyer SKU or reference, description and requested quantity.
- Unit basis: each, pair, set or another clearly defined selling unit.
- Requested variants such as size, side, color or model, only where relevant.
- Reference photo or drawing, with the file name tied to the matching line.

Make the pack-out basis explicit
For every line, ask how the quoted quantity will be packed. Is it supplied as individual units, pairs, sets or a seller-defined pack? Can different SKUs be combined in one outer carton, or must they remain separate? Treat the response as a project-specific proposal: do not assume a packing option is available until the seller confirms it for the exact items and quantities.

Mark carton dimensions, weights and counts as estimated until packed goods have been measured or the seller has otherwise confirmed them. Do not use a provisional figure as a final freight basis.
Compare quotes on the same shipment scope
Alongside the goods lines, provide the destination country and postcode, target shipping method if known, and the date by which you need a usable delivery estimate. Ask each seller or logistics provider to spell out what is included, what is excluded, and which party is responsible for each handoff. A term such as “shipping included” is not enough to compare two offers unless both sides define its scope.
- Ask for goods, packing, transport and other quoted charges to be itemized separately where available.
- Request the shipment basis and named destination in the written offer.
- Have the provider label timing as estimated or confirmed for this order.
- Before payment, compare the final item list, payee, amount, destination and shipment terms against the approved order documents.
